1. The facilities of this church are primarily for the use of worship services, Bible studies, prayer groups, discipleship training, and church-run ministries. Additionally, the facilities are available for use by members and non-members for weddings, receptions, showers, and funerals, with certain fees charged based on expenses to the church. “Church-run ministries” and “church-sponsored programs” mean those ministries and programs approved by the Church Leadership Council.
  2. The facilities may be used for church-sponsored programs, without charge, that provide educational, spiritual, and human-welfare support to both members and non-members.
  3. The facilities may be used for non-church sponsored programs that offer human betterment potential and are consistent with the Social Principles and ecumenical objective of The United Methodist Church. Such programs must be approved and conducted in accordance with these Guidelines.
  4. Products may be offered for sale by church-run ministries or church-sponsored programs that use the proceeds of the items sold to further Christ’s mission in some meaningful way. These sales are subject to approval by the Church Leadership Council. The facilities will not be used by non-church-sponsored programs for the principal purpose of selling products or services in competition with commercial businesses. The incidental sale of products or services by non-church sponsored programs will be permitted provided the programs, including the proposed sales, have been approved by the Church Leadership Council and are conducted in accordance with these Guidelines. No tickets will be sold, no money will be collected for program participation or support, and no products or services will be sold in areas intended for worship purposes.
  5. There are no permanently assigned rooms. The largest Mafair Sunday School/ministry group, in terms of number of participants or space required, has priority for the largest room assignments.
  6. The Church Office Staff will schedule the use of the church facilities. The Staff will accept requests and will schedule in accordingly. When questions concerning the application of these Guidelines arise, and the Pastor is not available, the Church Office Staff may consult with the chairs of the Board of Trustees and the Church Leadership Council.
  7. To avoid scheduling conflicts, only the Church Office Staff will make entries on any portion of the church scheduling calendar. Current daily and weekend facility schedules will be posted on the office calendar.
  8. The Church Leadership Council, at its annual calendar planning meeting, will designate dates for events to be held during the next calendar year. Major Mafair events will have priority in scheduling, i.e. Lenten Services, Vacation Bible School, Advent Services, etc. Except in unusual and compelling circumstances, as determined by the Church Office Staff, different conferences/programs will not be scheduled back to back on consecutive weekends by the same group.
  9. EVERYONE USING THE FACILITY (OTHER THAN REGULARLY SCHEDULED CHURCH EVENTS) MUST FILL OUT ROOM/EVENT RESERVATION FORMS.
  10. Church Members using the facility will be responsible for their own set-up, break-down, and clean-up, leaving the room(s) set-up as they found them (example—chairs and tables set the same as they were found).
  11. There will be no charge to church members, currently attending, for weddings, receptions and showers. All other guidelines apply.
  12. NON-MEMBERS SCHEDULING THE FACILITY FOR PRIVATE, NON-MINISTRY EVENTS will be charged a room rental fee for the locations listed in the table below. Before room reservations are firm, 100% of the room rental fee is due and the necessary Room/Event Reservation Form completed. There will be additional charges for spills and damage to carpet. Weddings cannot be booked over 6 months in advance. Fees are set based on expected utilities used, custodial and supervisory services required, and wear and tear of furnishings and equipment. The fees will be reviewed annually to ensure adequate reimbursement to the church.
  13. Use of the church sound system will require the payment of a one hundred dollar ($100.00) fee and a qualified person from the church to operate it.

GUIDELINES FOR USE OF CHURCH FACILITIES

  • Use only rooms previously scheduled—only on dates and at times scheduled. (Due to wide use of the building by many organizations we do not want to interrupt other groups.) Do not travel through the Fellowship Hall if it is in use by another group.
  • Check-in and check-out with the Church Office, the church member present, or with the designated Mafair Representative.
  • Abide by written and verbal requests of Mafair UMC Staff Representatives.
  • Conserve utilities. It is very important that you assist us in conserving electricity by turning off lights in the specific spaces assigned to your use when you leave.
  • Serve food and drink only with permission in the areas you are assigned.
  • Leave room(s) in the same condition as you find it (chairs, tables—clean).
  • Do not move or adjust any equipment or church supplies without approval.
  • Please do not bring animals into any part of the church building (Exception: service animals).
  • Report to the church office any change in information given to church upon original scheduling.
  • No running, loud noise, cursing, disruptive type behavior or activity is permitted.
  • For moral, health, and safety reasons and as a religious organization, we require abstinence from all tobacco products/smoking in the buildings, and abstinence from the use of drugs or alcohol on the church premises.
  • Arrangements for parking needs can be reviewed with the church office at the time of scheduling.
  • No activities may be conducted at the facility without an adult member present.
  • Failure to abide by the above guidelines will be reason to withdraw meeting privileges by the Board of Trustees, Church Leadership Council or the Pastor.
  • Assume all responsibility for damage or injury to property of the church, personal property on the church premises, and to persons attending the function which you schedule.
